A: eXp Passport is a single sign-on service used by eXp to enable a single, global login. Accounting Questions

Q: How do I update my Credit/Debit card details for my monthly fees?

A: To update the payment method for your monthly fees please contact [email protected]

Q: When will my commission be paid?

A: Within 24 hrs of receipt of cleared funds at settlement for Independent Contractors. Bi Monthly – on or about the 15th and 30th of each month for Commission Only Employees.

Q: Who do I provide my bank details to?

A: Please provide an extract of your bank statement displaying the account name and account number to – [email protected]

Q: How does eXp bill my monthly fees?

A: Your join fee is billed at the time you onboard with eXp.  The monthly subscription will then automatically be charged to your Credit/Debit card each month on the same date as you joined.

Q: Who do I contact for accounting and payment information?

Q: If a supplier emails me an invoice who do I send it to?

A: Please ensure that the invoice has been addressed to eXp Australia Pty Ltd Level 13/50 Cavill Ave, Surfers Paradise QLD 4217  ABN 20 633 936 295.  Then forward it on to [email protected]

Transaction Questions

Q: Who do I contact when I have a contract?

A: Please email Emily Geary – [email protected]

Q: Who sends the Contract out to the Buyers and Sellers?

A: The Agent is required to provide this information and communicate with the Buyers and Sellers

Q: Who do I go to for confirmation on whether a deposit is in our trust account?

A: Emily Geary receipts all contract deposits and can provide confirmation of funds being in the account

Q: Who issues the sale invoice prior to settlement?

A: Emily Geary will disperse the tax invoice out to the sellers conveyancer and the agent once the full deposit has been paid.

Settlements Questions

Q: Who do I notify when settlement occurs?

Q: Who do I provide the sellers account details to for disbursement of balance of funds?

A: Please provide the sellers account details prior to settlement to [email protected]

Q: Who do I contact regarding commission payment after settlement?

Marketing Questions

Q: Who sends a property live to the web portals?

A: Once your listing is approved and marketing monies have been paid by the agent or vendor, please email [email protected] and your listing will be sent live to the required portals on your behalf. Please ensure the signed marketing quote has been uploaded to Agent Box

Q: Who approves my listings?

A: Please email the appropriate staff member below with the address of the property in the SUBJECT LINE to get your listing approved;

Q: How do I approve my business cards?

A: Your business card proof will be emailed to you, please reply to this email with any changes or reply approved.

Q: Where can I find the eXp marketing templates?

A: These templates can be found in the agent drive under “marketing/marketing guidelines & templates/marketing templates” or click here

Q: How does my profile/photo get added to the eXp website, REA & Domain?

A: Once you have provided your bio and your agent photo to [email protected] she will then add you to the eXp website, REA and Domain

Q: Do eXp have suppliers I can use?

A: Yes please email your state Licensee for a list of suppliers for your state, alternatively agents can use their own local suppliers.

Q: Can I use my own suppliers?

A: Yes all agents are able to use their own suppliers, please follow the “Agent Box Marketing Process”

Q: Can I use my own marketing templates?

A: Yes all ICA/Sole Trading agents have the flexibility to use their own branded marketing templates, please supply these directly to your supplier. Commission only agents must use the eXp Marketing templates.

Q: Can I use my own logo?

A: Yes all ICA/Sole Trading agents have the flexibility to advertise their own logo with the exception that the eXp powered by logo is added to all marketing collateral

Q: How does a vendor or agent pay for marketing?

A: Click here to access eXp’s account details. If an agent is paying for marketing please ensure this is paid into the GENERAL ACCOUNT. If a vendor is paying for marketing please ensure this is paid into the TRUST ACCOUNT for your state. Password to pdf is expworld

Q: Is there a template for a listing presentation or sales proposal?

A: Yes, click here to download an editable word doc. Alternatively an agent can sign up to ProposalPoint. Proposal Point is a fully branded, interactive and customisable digital proposal solution which can be used by Real Estate professionals as an intuitive, fast and effective way to showcase their unique services and win more businesses. Q: What system can I use to send an ebrochure to my database?

A: Agentbox offers a range of ready-to-use templates for eMarketing, including eNewsletters, Property Alerts, Just Listed and Just Sold communications.  All email templates are designed to be responsive and optimized for mobile devices. Alternatively you can sign up to Active Pipe, please email [email protected] if you wish to join

Q: What happens when marketing monies are paid?

A: Once a vendor has paid for marketing a receipt will be emailed to the vendor and agent. If the agent is using its own suppliers a Purchase Order number will be issued/provided in Agentbox. The supplier will need to add this PO Number to their invoice.

Q: Who can I ask if marketing monies have been paid into our trust account?

Q: Can I advertise a property without marketing funds being paid?

A: We cannot market a property unless the marketing funds have been paid for by the vendor or agent. We can however advertise the property on our free portals

Q: What portals does eXp advertise on?

A: Free portals; eXp website, Domain (standard), Homely, Squizz, On The House, Home Sales and Rate My Agent

Paid Ads – REA and any Domain upgrades

Q: What if a vendor can't pay for marketing upfront?

A: eXp Australia has aligned with Campaign Flow to assist those vendors who are unable to pay for VPA upfront. All agents receive an invitation when they join to create a login and password. If you have not accepted this invitation please email [email protected]   

Q: What marketing platform is suitable for me: Campaign Track or Agent Box?

A: Campaign Track is suitable for all agents who wish to use eXp preferred suppliers and templates only with the exception of photography, floorplan, video, auctioneers.

Agent Box is suitable for all agents who wish to use their own suppliers. ICA/Sole traders are also able to use their own branded marketing templates via providing the artwork files to their suppliers. Note commonly agents must use eXp marketing templates.

Q: Can I advertise my logo on the eXp marketing templates if I am a ICA or Sole Trader agent?

A: Yes all ICA/Sole Traders have the ability to market their own logo on our eXp marketing templates

Q: Can I advertise my logo on the eXp marketing templates if I am a Commonly agent?

A: No due to compliance reasons

Q: How can I integrate my website with Agent Box so all new listings feed through to my website?

A: Please email [email protected] with your request, please also include the state you are located in so that the integration portal is added to the correct Agent Box account for your state

Q: What platform can I use to market my properties across social media?

A: eXp has partnered with Listing Logic who advertise across Facebook, Instagram and Google. Although you are free to engage with your own suppliers if you do not wish to use Listing Logic. Pricing can be found in the Agent Drive under “marketing/listing logic” or click here. Another platform we recommend is Spoke, please contact Spoke directly to set up your own account.

UK FAQ’s: Finance

Q: Do I need to add VAT to my commission even if I’m not VAT registered?

A: Yes. Always add VAT   in your pricing on your contact and show the whole commission that the customer will be paying. eXp is VAT registered and will be collecting the commission/revenue, so it’s important to get this right

So, as an example, let’s say you want to charge the customer £3,000+VAT. In the contract, you will write this as £3,600

Similarly, if you want to charge the customer 1.5%+VAT, then you will write into the contract 1.8% (1.5%+20% = 1.8%)

When the sale exchanges contracts, the customer will receive an invoice from eXp outlining the commission and the VAT.

We will then send you a note about what you need to invoice us. If you are not VAT registered, you will invoice us for 70% of the commission without VAT. See the examples below:

£2000.00 – Net Commission (The amount we charged solicitor for the sale less VAT)

Minus 30% exp share or minimum for £375 whichever is greater (minimum fee is subject to VAT)

£1400.00 – 70% Net agent fee is what you will keep – if opted into Agent Equity Plan the following will apply:

£70.00 – 5% Agent Equity Contribution (if required) AEP is zero rated

£280.00 – 20% VAT of the net agent fee (if applicable)

£1610.00 Total Payable to you if you are VAT register and opted into AEP 

 

Remember that the commission entry on Loop, however, is inputted WITHOUT VAT.   If you need further information, please don’t hesitate to ask.

Q: What do I need to do when my sales exchange?

A: Once you have updated the transaction on Loop to ‘exchanged’, please ensure the solicitors details and all relevant details are on Loop.

Our finance team will be told when the status changes to exchanged and then will invoice the solicitor so they can pay eXp on completion. Once we have received the funds, your commission will be sent to you via bank transfer in accordance with the ICA.

Q: Where are my shares?

A: Shares are purchased and are visible a month in arrears, on the last day of the month. You will be able to view them on the Shareworks account which you can log in to using your single sign on https://exprealty.okta.com/app/UserHome

Q: What is my current cap status?

A: If the Company Commission Share from property sales during any 12 months period since the last Anniversary Date reaches £24,000 then you will have achieved “Capped Status” until your next

Anniversary Date.

Please note – The Company Commission Share from property lettings is not included in the determination as to whether you have achieved Capped Status.

Q: When is my anniversary date?

A: The first day of the calendar month following the date that you joined eXp is your ‘anniversary date’.

Q: What do I do when I have questions after completion?

Q: How do I get paid?

A: Once you submit your invoice to the [email protected] mailbox, the finance team will check to ensure that your invoice is compliant. Once this is satisfied, we will ensure this is paid according to the ICA.

Q: What does AEP stand for?

A: This is Agent Equity Plan which you can opt in at anytime whereby, we deduct 5% from your net fee to purchase stock at a 10% discounted rate in eXp, further details can be found on here on the Agent Centre under Agent Equity Plan.

Q: When should I become VAT registered?

A:

The HMRC website can give you guidance with regards to the threshold of when you need to be VAT registered however, you can register for VAT at any time.

Q: What if I have an agent that wants to join eXp?

A: Simply get them to fill in an application form by clicking on ‘Become an Agent’ (link to: https://join.exp.uk.com/#become) on the eXp site. Once approved by us, they will receive a contract to sign. Make sure you give them your sponsor ID so that they can name you as sponsor on the contract!

Q: When will I get my Revenue Share Payments?

A: Revenue share payments are paid on the 22nd of each month, in arrears. Our accounts team can assist you with any revenue share queries or visit our Revenue Share page on the Agent Centre.

Q: When will I get my Referrals Payments?

A: Our preferred partners Referral payments are paid to eXp on or around the 15th of each month, in arrears. Our accounts team can assist you with any queries.

Q: Is a License required by an individual agent to register in eXp South Africa?

A: Obtaining the certificate of authorization is necessary because this document constitutes your authorization to exercise your profession as a real estate sales agent within eXp South Africa and will allow you to prove your quality and the extent of your powers.

Q: How will you support in terms of Licensing?

A: Obtaining the certificate of authorization is done by the specialist of integrations

Q: Why should I recruit others to be an eXp agent?

A: All agents receive many financial benefits by contributing to the growth of the agency
(revenue sharing and stock distribution program); Pervasive back-office and training support
help agents evolve and grow more efficiently; Minimum capital required to expand geographically; eXp agents can expand their activities to different markets much more easily.

Q: What equipment is needed to practice?

A: In order to be a sales agent at eXp, you will need at least a computer and a cell phone.

Q: Does eXp provide the necessary equipment?

A: No, eXp South Africa does not.

Q: Which tools do I need to download?

A: The tools to download are the applications provided by the company, i.e. the world, Okta which allows you to access the workplace, the CRM (REP) and the invitation manager (Guest management).

Q: Can I work in another eXp subsidiary?

A: No. At this moment, you can only work in one country of choosing – those of which you obtain a license in.
